Política de Privacidade
Este documento está disponível somente em inglês.
Ephyra Collective is owned by EPHYRA SOFTWARE LIMITED, company number 13942693 (“we,” “our,” or “us”), which runs it as a professional talent acquisition network and is the controller of the personal data described in this policy. We are committed to protecting the privacy, identity, and personal data of the independent Content Creators and scouts (“you,” “your”) who interact with our platform.
This Privacy Policy explains how we collect, use, store, and safeguard your information when you visit our website or apply to join our network. We handle your personal data in line with United Kingdom data protection law (the UK GDPR and the Data Protection Act 2018).
1. Information We Collect
We collect personal data that you voluntarily provide to us when applying to our network, submitting a contact form, or participating in our referral/scout programs. This includes:
- Identity Information: Full name, age, and legal identification details where required for vetting.
- Contact Information: Email address, phone number, and digital communication handles (including Telegram and Instagram usernames).
- Professional Assets: Social media profiles, creator platform links, and portfolio data.
Automated Data Collection
Our servers keep standard access logs (your IP address, browser type, the pages requested and the time) to keep the site secure and running.
This website and our application (at apply.ephyracollective.com) use Google Analytics to see which pages are used, but only if you choose Accept in the cookie notice. If you accept, Google Analytics sets two cookies in your browser (named _ga and _ga_ followed by an identifier), each lasting up to two years, and reports to us the pages you view, how you arrived, your browser and device type, your approximate location (country and city) and how long you stay. The website and the application each report to a separate Analytics property, so their figures are kept apart, although the _ga cookie is set once for both addresses. The address sent to Google carries only the page’s path and any campaign tags (utm_) in the link you followed, never anything you typed. In the application we record only that you reached a page, that an application was sent and that an account was created: never your answers, your name, your contact details or your files. We do not use Analytics in the applicant portal or the admin area. Google does not log or store IP addresses for Analytics, although your browser contacts Google’s servers to send these reports. Google acts for us as a processor under its Data Processing Terms and may process the data in the United States. We have switched off Google signals and advertising features, and we keep Analytics data for 14 months.
Your choice is remembered in a small cookie of our own, named ephyra_consent, which holds only the word granted or denied and the date and lasts up to 13 months. It is set on ephyracollective.com so that your choice holds on both addresses. If you decline, or have not chosen yet, nothing is loaded from Google and no Analytics cookie is set; the only cookie is the one that remembers your choice, and only once you have chosen. You can change your choice at any time with Cookie settings in the footer of this website or on the first page of the application, which also removes the Analytics cookies from your browser. The website’s fonts are hosted on our own servers.
The application does three more things. It sets a cookie that keeps you signed in once you have submitted an application or created an account. It loads its fonts from Google Fonts. And it asks a public lookup service (ipwho.is) which country your connection appears to be in, so that it can suggest a language and a country. Google and that service each receive your IP address when your browser makes those requests.
2. How We Use Your Information
We use the collected information strictly to evaluate talent acquisitions and manage our recruitment pipeline. Specifically, your data helps us to:
- Assess your application and determine fit for professional management placements.
- Communicate with you regarding application status or scout referral structures.
- Keep our website and application secure and working.
- Understand which pages of our website and application are used, only if you accept analytics cookies.
3. Strict Data Sharing & Consent Standards
We believe in absolute creator autonomy and data sovereignty. We do not sell, rent, or trade your personal data to any third party.
Your data is handled according to the following strict guardrails:
- No Unsolicited Sharing: Your personal, contact, or professional information is never shared with third-party management agencies without your knowledge.
- The Consent Bridge: When a legitimate, high-tier management agency is identified as a match for your brand, we will explicitly present the opportunity to you first. We will only share your contact data with that agency after receiving your explicit, documented consent.
4. Data Security & Storage
We implement industry-standard technical, physical, and administrative safeguards to protect your personal information against unauthorized access, disclosure, or alteration, in line with United Kingdom data protection law. Your digital assets and contact data are stored securely and are only accessible by authorized Ephyra Collective administrators.
5. Your Rights & Data Control
You retain complete ownership over your digital footprint. At any time, you have the right to:
- Request a copy of the personal data we hold about you.
- Request that we correct or update any inaccurate personal information.
- Request the permanent deletion of your data and application history from our systems.
- Withdraw your consent to analytics cookies at any time, with Cookie settings in the footer of the website.
You can also object to how we use your data or ask us to restrict it. To exercise any of these rights, please contact us using the corporate details provided below. If you are unhappy with how we handle your data, you may complain to the Information Commissioner’s Office (ico.org.uk).
